Please read these Terms and Conditions carefully before booking a coaching session or programme with me. By making a booking or payment, you confirm that you have read, understood, and agreed to these terms.
1. About me
I am Rachel Fox, a life coach trading as Roam and Reclaim. I am a sole trader based in the United Kingdom.

2. My services
I offer the following coaching services:
1:1 coaching
Personalised one-to-one coaching sessions delivered via video call. Sessions can be booked and paid for individually or as a block of six sessions at a time.
Roam and Reclaim group programme
A six-week group coaching programme delivered via Zoom, designed for women who are ready to explore what comes next in their lives. The programme consists of six weekly sessions of 90 minutes each, with a small group of between six and ten participants. Full details of the programme, including dates and content, will be provided at the time of booking.
Nature of coaching
Life coaching is a forward-focused, collaborative process aimed at helping you gain clarity, build confidence, and take meaningful steps toward the life you want. It is not therapy, counselling, or medical treatment. Coaching does not involve the diagnosis or treatment of mental health conditions.
If at any point I believe that therapy or another form of professional support would be more appropriate for you, I will discuss this with you sensitively and signpost you to relevant resources.
3. Booking and confirmation
Bookings for 1:1 sessions are made through my online booking system (Acuity Scheduling) at roamandreclaim.co.uk. A booking is confirmed once you have received a confirmation email from me or from Acuity Scheduling.
Bookings for the Roam and Reclaim group programme are confirmed once full payment has been received and you have received a written confirmation from me.
By making a booking you confirm that you are 18 years of age or older.
4. Fees and payment
My current fees are set out on my website at roamandreclaim.co.uk. I reserve the right to update my fees at any time, but any change will not affect bookings that have already been confirmed and paid for.
Payment methods
Payment can be made by:
Debit or credit card via Stripe (secure online payment)
Bank transfer — details will be provided on request
All prices are in pounds sterling (GBP) and, where applicable, include VAT.
Block bookings
A block of six 1:1 sessions must be paid for in full at the time of booking. Sessions within a block must be used within six months of the date of purchase. Any unused sessions after this period will be forfeited unless we have agreed an extension in writing.
Group programme
Full payment for the Roam and Reclaim group programme is required at the time of booking in order to secure your place.
5. Cancellation and rescheduling
1:1 sessions — cancellation by you
If you need to cancel or reschedule a 1:1 session, please give me at least 24 hours' notice. You can do this by cancelling or rescheduling through Acuity Scheduling, or by emailing me at contact@roamandreclaim.co.uk.
Cancellations or reschedules made with at least 24 hours' notice: no charge. The session will be rescheduled or, for individually purchased sessions, refunded.
Cancellations made with less than 24 hours' notice: the session will be forfeited and no refund will be given, unless there are exceptional circumstances (for example, a medical emergency), at my discretion.
Group programme — cancellation by you
Cancellations made before the programme start date: a full refund will be given.
Cancellations made after the programme has started: no refund will be given for sessions already delivered. I will consider requests for a partial refund on a case-by-case basis where there are exceptional circumstances.
Cancellation by me
I reserve the right to cancel or reschedule a session or programme in exceptional circumstances — for example, illness or a personal emergency. If I cancel a session, I will give you as much notice as possible and offer an alternative date or a full refund. If I cancel a group programme before it begins, all participants will receive a full refund.
6. Refunds
Refunds will be processed within 14 days of a cancellation being agreed, using the same payment method as the original transaction where possible.
1:1 individual sessions
Refunds are available for individually purchased sessions cancelled with at least 24 hours' notice.
1:1 block bookings
Unused sessions from a block booking can be refunded at any time, even if the block was purchased at a discounted rate. The refund will be calculated on a pro-rata basis at the individual session rate.
Group programme
A full refund is available if you cancel your place before the programme start date. No refund is available once the programme has begun, except at my discretion in exceptional circumstances.
Consumer rights
Under the Consumer Contracts Regulations 2013, you have the right to cancel a contract within 14 days of making a booking (the "cooling-off period"). However, if a session takes place within this 14-day period and you have expressly requested this, your right to a refund for that session is waived. Please contact me if you have any questions about your consumer rights.
7. Your responsibilities
To get the most from our coaching relationship, I ask that you:
Attend sessions punctually and prepared to engage
Give adequate notice if you need to cancel or reschedule
Be open and honest in our sessions
Take responsibility for your own decisions and actions — coaching is a collaborative process and the outcomes depend on your engagement and commitment
Ensure you have a suitable private space and a stable internet connection for video sessions
Coaching works best when you are in a stable enough place to focus on your goals. If you are currently experiencing a mental health crisis or severe distress, I would encourage you to seek support from a qualified mental health professional before beginning coaching. I am happy to discuss this with you openly and without judgement.
8. Confidentiality
Everything discussed in our coaching sessions is treated as strictly confidential. I will not share information about you or our sessions with any third party without your consent, except in the following circumstances:
Where I am required to do so by law
Where I believe there is a serious risk of harm to you or to another person
In a group programme setting, I ask all participants to respect the confidentiality of other group members. What is shared in the group stays in the group.
9. Limitation of liability
I am committed to providing a high-quality coaching service and will always act in your best interests. However, I cannot guarantee specific outcomes from coaching — results depend on many factors, including your own commitment and circumstances.
To the fullest extent permitted by law, I exclude liability for any indirect or consequential loss arising from our coaching relationship. Nothing in these terms limits my liability for death or personal injury caused by negligence, or for fraud or fraudulent misrepresentation.
My total liability to you in connection with the services provided under these terms shall not exceed the total fees paid by you for the specific sessions or programme in question.
10. Intellectual property
All materials I provide as part of my coaching services — including workbooks, worksheets, frameworks, and any other written or digital content — are my intellectual property and are protected by copyright. These materials are for your personal use only.
You may not reproduce, share, sell, or distribute my materials without my prior written consent.
11. Changes to these terms
I may update these Terms and Conditions from time to time. The date at the top of this page shows when they were last revised. Any changes will apply to new bookings made after the date of the update — they will not affect existing confirmed bookings.
12. Governing law
These Terms and Conditions are governed by the laws of England and Wales. Any disputes arising from our coaching relationship will be subject to the exclusive jurisdiction of the courts of England and Wales.
